This privacy policy explains how we (Ipsos s.r.o and Ipsos UK) use any personal data we collect about you (“Mystery Shopper”, ”you” or “your”), when you join our iShopFor Ipsos online panel / network (“Panel”), take part in mystery shopping Tasks (as defined in the Terms and Conditions or surveys), and use the iShopFor Ipsos Website or our online platform and mobile application named iShopFor Ipsos System supplied by Research Metrics.

1. What data do we collect about you?
We collect the data you provide when you decide to join our Panel and fill out our recruitment form.

When you register through the iShopFor Ipsos Website, Ipsos may collect data that can specifically identify you such as your name, address, telephone number and e-mail address.
We also collect information about the country and language preferences you have selected when registering on the website.

Other data is collected using our iShopFor Ipsos System, supplied and supported by Research Metrics, when you fill out your iShopFor Ipsos Shopper Profile, complete any Task you participate in, or provide feedback, comments, or other data to us. The bare minimum data we collect is:

2. Why do we collect data about you?

The primary purpose  we collect data from you is to make sure  that we can fulfil our agreement with you. When you join the iShopFor Ipsos panel, we enter into a contract with you which is subject to this Privacy Policy as well as our Framework Agreement of the Terms and Conditions. Additionally, when you accept any Task, we enter into a further agreement pursuant to the Framework Agreement.

In order to fulfil the Framework Agreement by inviting you to perform relevant Mystery Shopping Tasks, we need to collect and process appropiate data during the recruitment period.  You may also subsequently add or adjust data in your profile in the iShopFor Ipsos System. This data might be processed using automated means. This data will also be necessary for us to send you fees and to contact you with regard to any Tasks.

Finally, we also collect data from you based on any agreements to take part in performing any Mystery Shopping Tasks. Your acceptance of such Tasks is your choice. There might also be situations when we are seeking data from you based on your consent or even explicit consent where this might be appropriate or required.

3. How will we use the data you provide?
We will use the data you provide to:

  • Fulfil our Framework Agreement or any Task-specific agreement with you.
  • Keep a record of all Mystery Shoppers.
  • We will use your name, telephone number, and e-mail address to contact you when appropriate Tasks are available or if we need to validate any of your responses; and to give you feedback on the Tasks you have undertaken for us. We will use your postal address, date of birth, gender and other responses to ensure that you match the profile requirements for the Tasks. 
  • We may also use these details to analyse the responses from all Mystery Shoppers and determine whether any trends among certain profiles emerge. 
  • Send you invitations to participate in Tasks that are relevant to you based on the data you provided on your Mystery Shopper profile, or by answering e-mails questions or surveys.
  • Send you an e-mail containing a verification code, in order to verify your application and activate your Mystery Shopper account.
  • Append personal data about you to your responses to any Tasks you participate in, such as geographical location, occupational categories, etc., in order to analyse the Task responses and produce anonymous, statistical research results.
  • Enter you into any prize draws that you are eligible to take part in or, when invited to do so, have asked to take part in.
  • With your explicit consent (which will be sought at the relevant time), transmit your individual Task responses together with your personal data to the client who commissioned the Task. The client will use this data only for research purposes as explained in the Task. The client may also use this data to contact you to in order to invite you to participate in further research they conduct, or training, but only with your informed and explicit consent.
  • Create anonymous, statistical profiles of the Panel membership based on the data provided by Mystery Shoppers.
  • With your consent, share your data with other Ipsos Group companies so that they may invite you to participate in research studies they are carrying out which may be relevant to you.
  • Send you electronic newsletters, mobile notifications, announcements, and other communications, as you agreed to in the registration process.

We take all reasonable steps to ensure that any personal data we process is accurate, adequate, relevant and not excessive in relation to the purpose for which it was obtained. We will not process personal data obtained for one purpose for any unconnected purpose unless you have agreed to this or would otherwise reasonably expect this.

We will NEVER use your data for any purpose other than research and only as described in this policy. Other than in relation to this Panel, we will not try to sell you anything nor use your data for marketing purposes. We will never share your data with third parties for marketing or advertising purposes.

4. Third parties

We may use subcontractors, applications, or affiliated companies to carry out some work on our behalf, under our control and responsibility, for data hosting, making payments to you, translation, communication, map creation based on movement while performing specific Mystery Shopping Tasks (please also see section 6 of the Terms and Conditions) or as described above. Some of these subcontractors may be based outside the European Economic Area; however, they are required to abide by the same data privacy legal requirements and security arrangements as ourselves and will be subject to appropriate safeguards, a description of which can be obtained contacting us as set out below.

When you are using our Facebook page in order to communicate with us, this use will be subject to Facebook’s relevant Terms of Use and Privacy Policy.

With your express consent we might in specific cases provide your data to our clients.

5. Children
For any Tasks aimed at children, we will always require prior consent from our Panelists that are either a parent or a legal guardian, and are legally responsible for the child, before inviting such child to take part in the research. 

6. Use of Cookies and similar code
By joining our Mystery Shopper Panel online and taking part in our Mystery Shopping Tasks, you agree to our use of cookies and similar technologies and the collection of data from your PC/Laptop or other computing device you may use while taking part in our Mystery Shopping Tasks and research activities as outlined below.

What are cookies?
Cookies are small data files that enable the visited website to remember your actions and preferences for some time so you don't have to keep re-entering them whenever you return to the site. Cookies are not dangerous; however, they are significant for privacy protection. Cookies cannot be used to identify individual visitors to the website, nor for fraudulent use of login credentials.

7. How long will we keep the data you provide?
We will keep the data you provided when you joined our Mystery Shopper Panel, together with any data you provided in response to Mystery Shopping Tasks for as long as you remain a Mystery Shopper of the Panel.


When your membership in the Mystery Shopper Panel ends, we will delete your personal data. We might retain only the data required to prevent you from re-joining (if you were removed from the Mystery Shopper Panel BIOS) or as legally required. 

 

Ipsos may retain, as legal proof of your past collaboration, some data such as your name, date of birth, address, social security number, and bank details.

This data is kept for up to 6 years. 


8. How do we ensure your personal data is secure?
We take our responsibility to keep your personal data secure very seriously. Thus we take every reasonable precaution to ensure your data is protected from loss, theft, or misuse. These precautions include appropriate physical security of our offices, controlled access to computer systems, and use of secure, encrypted internet connections when collecting personal data.

 

If a personal data breach occurs and is likely to result in a high risk to your rights and freedoms, we will notify you, and the appropriate supervisory authority in a timely fashion.

As part of our commitment to the security of your data, Ipsos UK has regular internal and external audits of its data security and is certified to be compliant with the requirements of the International Standard for Data Security ISO 27001, Market, Opinion and Social Research ISO 20252 and Quality Management ISO 9001.

9. How can you get access to your data and/or correct it and/or request its transfer and/or deletion? What are your rights?

 

Privacy-Related requests and Data Corrections


To submit a privacy-related request, consult, and/or modify the data you provided, you can log into to the iShopFor Ipsos System. However, certain data change requests require manual intervention for your data to be modified / deleted.

 

In such cases, please submit a request in the iShopFor Ipsos online platform or contact our Ipsos Shopper Support Team.

To submit a privacy-related request, you need to connect to the iShopFor Ipsos Platform and submit a request in MY PRIVACY Section.

Please note that our team might need time to process your privacy request. Your request will be processed within a maximum 30 days after its submission.

Please specify your username (if known) or the e-mail address used during your registration on iShopFor Ipsos System.

Unsubscription and Deletion request

In order to leave our Shopper Panel, you need to connect to the iShopFor Ipsos Platform and submit a request in MY PRIVACY section.

Please note that your request to leave the panel can be processed only once all the Mystery Shopping Tasks assigned to you are validated and their payment has been made.

Once your unsubscription request is processed, most of your data will be deleted and your account will be deactivated.  Please note that some personal data necessary to your identification will be kept by Ipsos as legal proof of our past collaboration. 

The following data about you might be kept: name, date of birth, address, social security number, and bank details.

Also note that the unsubscription is irreversible,  therefore we won’t be able to recover your account. 

 

Your Rights

You have the right to request a copy of all the data we hold about you. You also have the right to request the rectification of any personal data we hold about you. Furthermore, you have the right for all personal data, that you have provided to us to be transferred to another party. In various circumstances you also have the right to request from us the deletion of the personal data we hold about you subject to the limitation set out above in pragraph 7.
You also have the right to restrict processing, to object, and to lodge a complaint with a supervisory authority.  

In addition, you have the right not to be subject to decisions based solely on automated processing, including profiling, which produce legal or other significant effects for you. If a personal data breach occurs and is likely to result in a high risk to your rights and freedoms, we will notify you  and the appropriate supervisory authority in a timely fashion.
